This document defines the community tracks, roles, responsibilities, rules of engagement, and application process for Volunteers and Co-Organizers at PyData Indore — Central India's first official PyData / NumFOCUS chapter.
PyData Indore operates on a 100% in-kind, zero-cash model. No member earns money through the community. We exist to learn, share, and grow the Python data ecosystem in Central India. Applying confirms you've read and agree to this framework.
This document establishes the framework for Volunteers and Co-Organizers at PyData Indore, a NumFOCUS Affiliated Chapter. It defines community tracks, roles, responsibilities, rules of engagement, and the application process.
PyData Indore operates on a 100% in-kind, zero-cash model. No member earns money through the community. We do not charge attendees. We exist to learn, share, and grow the Python data ecosystem in Central India.
Each track represents a functional area within the community. Volunteers pick one or more tracks based on their interest and skills. Co-Organizers lead or oversee one or more tracks.

| Social Media, Content & Documentation | Managing LinkedIn, Twitter/X, Instagram, Meetup.com posts, event announcements, reels/shorts, and community updates. Writing post-event summaries. Collecting and analyzing attendee feedback. Maintaining meeting notes (MOM), post-event reports, and community metrics. |
| Community Outreach & Partnerships | Building relationships with colleges, tech companies, and other communities (GDG, TFUG, etc.). Handling collaborations like Microsoft Build //localhost. Spreading awareness through campus connects and word-of-mouth campaigns. |
| Photography & Videography | Covering events with photos and videos. Managing event galleries. Creating short recap videos and B-roll for social media. |
| Design & Creatives | Creating posters, banners, stickers, wristbands, ID cards, certificates, sponsor one-pagers, and other visual assets using Canva, Figma, or similar tools. Maintaining brand consistency across all materials. |
| Website Development | Maintaining and developing indore.pydata.org. Building new pages, fixing bugs, and implementing features. Requires technical skills (HTML/CSS/JS or static site generators). |
| Event Operations & Logistics | Venue coordination, registration desk, attendee check-in, seating, AV/projector setup, food coordination, and on-ground event flow management on the day of the event. |
| Speaker Relations & Content Curation | Scouting and coordinating speakers, reviewing talk proposals, managing speaker communication, ensuring talk quality and relevance. |
| PR & Sponsorship | Reaching out to potential sponsors, preparing sponsorship decks, managing in-kind deliverables (swag printing, venue arrangements), tracking sponsor commitments. PR outreach to media, blogs, and newsletters for community visibility. |
Contribute to specific tracks on a per-event or ongoing basis. Ideal for anyone who wants to help without a long-term leadership commitment. Pick 1–2 tracks, deliver assigned tasks on time, and communicate early if you're blocked.
Take ownership of one or more tracks and participate in strategic decisions. Own at least one track end-to-end, mentor volunteers, join planning calls, and help scout speakers and sponsors. Evaluated quarterly.
PyData Indore is 100% in-kind. If there is no sponsor for something (e.g., food, printing), Co-Organizers may voluntarily chip in out of pocket. This is always voluntary and discussed beforehand — never a surprise, and never forced.

This document is reviewed after every 3 meetups or quarterly, whichever comes first. Suggestions from the team are discussed in planning calls and incorporated with version updates.
